This policy outlines how Real Health London adheres to GDPR regulations and UK Data Protection Act 2018 and how we will collect, use and store your personal information. It also outlines your rights within the law.

How we collect information

We collect information from and about you when you make an appointment online, when you register as a patient, or when you use any of services whether that be Physiotherapy, Osteopathy, Massage or Personal Training.

What information do we collect?

In order to register you with Real Health London we collect personal information including your name, birthdate, address, phone number and email address. If you are paying via an insurance company we will also obtain your membership number and authorisation code. This information is stored by Cliniko, our booking system, which protects data in line with GDPR regulations and UK Data Protection Act 2018.

Our clinicians will also ask various questions relating to your issue, general health and lifestyle. These notes will also be stored on Cliniko. No sensitive information is stored directly on laptops or hard drives and any downloaded files are deleted at the end of the day. We do not store any payment details. All payments are collected by protected third parties.

It is a legal requirement that clinicians document your treatment. These notes are recorded using our booking system Cliniko.

How is your information used?

Some personal information is used when sending invoices to insurance companies. To ensure we maintain a high level of service, data is also used in auditing treatment, clinic services and for quality control. Information is also used to;

  • Refer you for further help, suchas a GP or consultant
  • Notify you about changes or updates to our clinic or services – Notify you about special offers or clinic news
  • Ensure you are safe to treat
  • Make decisions or formulate a treatment plan
  • Comply with various regulations

 

How long will your data be kept for?

This is dependent on the type of data, however in general health records will be kept for 8 years as of the date of the last appointment. In the case of a child, they are kept until 8 years after the age of 18 or 25 years old.

What rights do you have over your data?

You can request access to your information at any time. You may also request to alter or amend any information we have. You may ask for the erasure of your records if there is no good reason for us to continue to store them. If you need to alter any information please email [email protected]

Who will your data be shared with?

If paying via insurance, we will share the necessary information with your insurance company. We may occasionally need to contact your GP, a consultant or other third party. This will only be done with your knowledge and all correspondence will be sent encrypted.
